Mini Landlords: Team Accounts for Big Portfolios

In one sentence: a mini landlord is a helper, like a caretaker or an accountant, who signs in with their own password and sees only the buildings you choose, either just looking or also making changes.

The simple version

Imagine you own three buildings. You can't be at all of them every day, so Juma looks after Kilimani Heights and Halima keeps the books.

Instead of giving them your password, you give each of them their own login:

• Juma can see and work on Kilimani Heights only: add tenants, record payments, raise bills.
• Halima can see every building but can only look, not change anything.

You stay in charge. You can change what they see, or remove them, at any moment.

Why you need this

Mini landlords are made for property managers and agencies with many buildings or staff:

• Never share your password. Each person has their own login, so you always know who did what.
• The right building for the right person. A caretaker only sees their own block, not your whole portfolio.
• Two levels of trust. Read only for accountants and owners who just want to watch; Read & write for staff who do the daily work.
• Instant control. Change someone's access and it applies straight away. Remove them and they are signed out everywhere.
• Grows with you. Choose All properties, including ones you add later and new buildings are covered automatically.

Where to find it

Only the main account owner sees these. A mini landlord can't add other mini landlords.

Step 1: Add a mini landlord

1. Open Mini Landlords and click Add Mini-Landlord (or use the card on your home page).
2. Type their first name, last name, email and mobile number. Their login details are sent to that email.
3. Choose their Access: - Read only: they can view everything on their buildings, but can't add, change or delete anything. - Read & write: they can do what you can on their buildings: add tenants, record payments, raise invoices and more.
4. Choose their buildings: tick All properties, including ones you add later, or pick buildings in Properties. They'll only see the tenants, payments and other data of those buildings.
5. Click Add Mini-Landlord.

Mkodisha emails them their username; their first password is that username. They sign in at mkodisha.com/login and should change it straight away.

Step 2: Manage your team

The table lists each mini landlord's name, username, email, phone, access, properties, status, when they were last active, and when they were added. On each row:

• Pencil: change their access or buildings. It applies immediately.
• Envelope: resend their login details (if they lost the email).
• Bin: remove them. They're signed out of every device at once.

What a mini landlord sees

Juma has read & write access to Kilimani Heights. A blue banner reminds him whose account he is working on and what he can do. Every number, chart and list only includes Kilimani Heights.

Halima has read only access to all properties. She can open any building, tenant list or report, but buttons that change things don't work for her.

Quick answers

Does a mini landlord pay anything? No. Mini landlords work inside your account. See Pricing for your own plan.

Can a mini landlord see my other buildings? No, only the buildings you gave them (or all of them if you ticked All properties).

Can a mini landlord add tenants? Only with Read & write access, and only in their buildings.

What happens if I delete a building they had? They lose access to it. A mini landlord whose only building is deleted sees nothing, not everything.

How do I stop someone's access immediately? Click the bin on their row. They're signed out everywhere at once.

They lost their login email. Click the envelope on their row to resend it.
